Reports enable users to make custom search queries to get personalized results, which can be exported as a CSV file. We will continue to add more query filters over the coming releases.
To create a new report, navigate to People in the sidebar, then click Reports.
There are two New buttons at the top of the page. The first one will create a new report, and the second will create a new report folder. Reports can be seen by all the LiveHive users in your subscription, just like email templates, call scripts and SmartPaths. However, when you choose to run a report, it is only using your individual user's data.
You may want to create some folders right away to keep reports organized. In the example below, there are folders for different types of reports - Company, Contacts, Opportunities, SmartPaths, and Tasks.
Create a Report
To create a new report, click the first New button.
The Create Report window will open. Click Add Condition to determine your first condition for the report.
Choose the type of data you want to generate a report of. In the example below, the report will show all contacts whose last activity is email.
Once you've determined the main condition, the option of a sub-condition will appear. If applicable, click Add sub-condition to narrow down your query.
In this example, the sub-condition is the date of the last activity is less than or equal to 1 month ago. So, the report will show all contacts who the user has emailed within the last month.
Once you're done setting up conditions, title the report, choose a location (Top Level Folder is not inside a folder, or choose from existing report folders), then click Create Report.
Once created, you will see the new report in the list of reports.
At this point, you've simply created the report query, but there isn't anything to see yet.
Run a Report
To run the report for your user's data, click the action pencil to the right side of the report. From the action drop-down menu select Run Report.
A banner will appear to let you know that the report is being run. Under the Last Run column, you will see In Process.
View the Report Right Away
Click the Alerts icon (bell) in the upper right corner of LiveHive. When completed, you'll have an alert saying that the report is ready to view. Click this alert to view the report. In this example, I can click on "Your report Emailed in the last month is ready to view" to load the list of contacts that I've emailed within the last month.
Depending on the type of data your report is for, you will have different action options. For a contacts report, I can select all or some of the contacts using the checkboxes on the left side, then click Bulk Actions.
I can add the contacts to an existing group, create a new group, assign them to a SmartPath, or export the selected contacts to a CSV file.
The Bulk Actions menu options will change depending on the results of the report.
For example, if you ran a report for Tasks or SmartPaths, the Bulk Actions option is Export to CSV.
View a Report Later
When looking at the list of reports, the Last Run column displays the date that you last ran the report.
You can view the data associated with the report at any time by clicking on the action pencil.
Select View Results. In this example, I will have a list of contacts I've emailed within the last month.
